These Terms of Service ("Terms") govern your access to and use of the AcademySystem website and software-as-a-service platform (the "Service"). By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.

1. The Service

AcademySystem provides tools for academy management, including (but not limited to) student CRM, course and class scheduling, attendance tracking, invoicing and recurring billing, payment submission review, and inventory management. We may update, modify or discontinue parts of the Service at any time.

2. Eligibility and Accounts

  • You must be legally able to enter into a contract in your jurisdiction to create an account.
  • You are responsible for maintaining the confidentiality of your login credentials.
  • You are responsible for all activity that occurs under your account.

3. Customer Data

"Customer Data" means information you or your users upload to the Service (including student/parent/teacher data). You retain ownership of Customer Data. You grant AcademySystem a limited right to host, process, transmit and display Customer Data solely to provide and improve the Service and to meet our legal obligations.

4. Acceptable Use

You agree not to:

  • Use the Service for illegal, harmful or fraudulent activities.
  • Upload malware or attempt to disrupt the Service.
  • Attempt to access systems or data you are not authorised to access.
  • Reverse engineer or attempt to extract source code except to the extent permitted by law.
  • Resell or provide the Service to third parties unless authorised by AcademySystem in writing.

5. Subscription, Fees and Student Limits

Paid plans are billed in advance on a recurring basis (monthly or annually, depending on your selection). Your plan includes an active student limit as described on our pricing page. You are responsible for maintaining your usage within plan limits. We may restrict features, require an upgrade, or apply overage rules if usage exceeds your plan.

6. Trials and Refunds

If a free trial is offered, it will be described during signup. Unless required by law, fees are non-refundable. If you believe you were billed in error, contact support and we will review.

7. Support

Support is provided via email as described on our website. We may set reasonable limits to prevent abuse and to ensure fair access for all customers.

8. Intellectual Property

The Service, including software, design, and trademarks, is owned by AcademySystem or its licensors. These Terms do not grant you any rights in our intellectual property except the limited right to use the Service.

9. Confidentiality

Each party may receive confidential information from the other. You agree to protect our confidential information, and we agree to protect yours, using reasonable care and only use it to perform obligations under these Terms.

10. Termination

You may stop using the Service at any time. We may suspend or terminate access if you violate these Terms, if required by law, or to protect the security and integrity of the Service. Upon termination, you may request export of Customer Data if available, subject to legal and technical limits.

11. Disclaimers

The Service is provided "as is" and "as available". We disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement.

12. Limitation of Liability

AcademySystem will not be liable for indirect, incidental, special, consequential or punitive damages, or any loss of profits, revenues, data or goodwill.

13. Indemnification

You agree to indemnify and hold harmless AcademySystem from claims, damages, losses and expenses arising from your use of the Service, your Customer Data, or your violation of these Terms.

14. Changes to Terms

We may update these Terms from time to time. We will post the updated version with a new effective date. If changes are material, we may provide notice via the Service or email.

15. Governing Law

These Terms are governed by the laws of the jurisdiction where AcademySystem is established, without regard to conflict of laws rules. (You can customise this section to specify a particular country/state.)
